The numbers describe a change. Your source notes and interpretation explain what deserves the next test.

Your evidence. Your explanation.

Build a report people can act on

Use up to 12 account records. Keep each platform’s metrics and source scope separate, then carry the comparison and your next steps into one PDF.

Bring the evidence into one report

Reporting windows

MetricCurrentPrevious

Leave unavailable values empty. Followers and subscribers are ending snapshots. Use source totals for unique reach and viewers; do not add post-level unique counts.

Selected account preview

Preview shows the selected account. The PDF includes every account and your narrative. Large values are shortened visually; CSV and JSON preserve the original numbers.

Source context, interpretation and next steps

PDF is a visual report with rasterized text, not selectable or tagged text. Source CSV retains entered values, including stored previous figures when comparison is off. JSON keeps the complete editable report.

Use the prepared CSV template

Use this tool’s normalized template, not a native platform export. Keep one row for every listed metric per account and repeat its account and report settings consistently. Blank metric cells stay unknown. Keep the exact header and format marker.

Text cells are formula-escaped for spreadsheet safety. Use the downloaded template’s convention; don’t remove its protective apostrophes. JSON is the simplest option for returning to this report unchanged.

Your report is processed in this tab, without social login, analytics connections or upload. Nothing is saved automatically. Download a project before closing. Commentary and source verification remain yours.

How the report takes shape

Keep the source, the change and the decision connected

State what the figures cover

Choose account, period and metric definitions. Use the same source coverage before interpreting a change.

Unknown is not zero

Compare the same measurement

Review current and previous values for one metric. Keep different-length windows visible and goals in the right units.

Difference is not an explanation of cause

Write the practical next step

Add evidence, commentary and an action owner. Export a review and keep the editable data for the next period.

Separate account records, not a fake total audience

Decide what the report needs to answer

Start with the person who will read the report. A shop owner may need to decide whether to repeat a product demonstration series. A marketing lead may need to check progress against a specific account target. Write that decision in ordinary language before collecting figures. Otherwise, the report can become a polished inventory that answers no useful question.

Our worked example follows Ridgeway Outdoor, a fictional outdoor equipment brand reviewing its September product education. The team wants to know whether its Instagram material generated more observed saves than its previous review period. It also keeps separate account records for other channels where useful evidence is available. Those records provide context without becoming a combined audience or engagement total.

Choose a report title, brand or client name, and prepared by name that another person can recognize immediately. A title such as Ridgeway Outdoor September equipment education is more useful than Monthly results final. Use text branding and a supplied palette for presentation. This is a report builder with wordmark text, not a logo upload or a custom design editor.

Build the first version around evidence you can actually obtain. A record with four well explained observations is more useful than a full table padded with guesses. You can include up to twelve account records, but there is no requirement to use every slot or every platform. For a wider handoff process, follow the monthly client report guide.

Set the dates and document each source

Enter the current reporting start and end dates before copying metrics. The builder treats dates as inclusive. When comparison is enabled, enter an earlier window whose end falls before the current window begins. Read both date labels aloud during review. A correct value attached to the wrong month can be more misleading than an obvious typing mistake in the number itself.

For Ridgeway, use September first through September thirtieth as current and August first through August thirtieth as previous. These windows each contain thirty days, deliberately leaving August thirty first outside this example. Explain that choice in the source note rather than calling both windows complete calendar months. A real monthly report can use whole months, but must acknowledge their differing lengths.

Choose period scope when figures describe activity occurring inside the selected window. Choose cohort scope when the source describes an explicitly selected group of items, such as the September equipment demonstrations observed at a stated checkpoint. The scope label does not convert lifetime post figures into monthly activity. Add enough source detail to explain the observation date, content group, and filters used.

Record the source surface and its actual metric meaning. For example, write Instagram insights, selected account, saves for the stated activity windows, captured October second. Preserve a source label when its definition matters, especially for link taps or content clicks. Access and available measurements vary between accounts and source surfaces; an empty field is appropriate when the required observation cannot be obtained.

Check the time zone, format selection, and capture timing before deciding that two exports are comparable. A recent post may continue accumulating observations, while an account summary may cover a fixed activity window. Keep screenshots or original exports in your own evidence folder. The builder stores your written references, not an automatically verified connection to those materials. The metric definitions guide helps resolve uncertain labels.

Use the right metric catalog for each platform

Instagram records offer published items, followers, views, accounts reached, likes, comments, saves, shares, and link taps or clicks. Keep the source definition beside the last field. Followers describe an ending audience snapshot here; accounts reached should come from a suitable source observation, not from adding individual post reach figures.

TikTok records contain published items, followers, video views, likes, comments, shares, and profile views. A profile view is not a website visit or a sale. Describe whether the supplied figures concern the selected account activity or a named content cohort, rather than assuming every video view has the same observation window.

YouTube records include published items, subscribers, views, watch time in hours, impressions, likes, comments, and shares. Explain whether Shorts, longer videos, or a selected mixture are included. Keep watch time in hours, including supported decimals, instead of entering minutes into a field labeled hours. Impressions and views remain distinct observations.

Facebook records provide published items, followers, views, reach, reactions, comments, shares, and link clicks. Use the specific source selection consistently. Reactions do not become a universal likes count, and reach does not become views. If a source combines content types differently between windows, disclose that difference before interpreting the change.

LinkedIn records offer published items, followers, impressions, reactions, comments, reposts, and content clicks. Content clicks are not automatically external website visits. A reader evaluating traffic needs to know that distinction. Do not replace this field with a different analytics measure simply because both source screens happen to use the word clicks.

Threads records include published items, followers, views, likes, replies, reposts, and quotes. Keep conversation actions separate so the reader can see what changed. Write down the available source window and selected content scope instead of assuming that a displayed overview and an individual post screen cover identical material.

X records contain published items, followers, impressions, likes, replies, reposts, bookmarks, and link clicks. Preserve the source context for each supplied number. A bookmark can support a discussion about saved material, but it does not identify a unique interested customer or establish what that person did afterward.

Snapchat records allow published items, followers, views, unique viewers, watch time in hours, screenshots, and shares. Distinguish Public Story and Spotlight evidence in the note. Only use matching available source figures; a post level new follower measure is not the ending follower snapshot. Do not add unique viewers across items or accounts.

Reddit records include published items, followers, views, comments, shares, and net vote score. Score may be negative and must not be renamed exact upvotes or unique people. Across all nine catalogs, published items means your explicitly selected content count, not a promise of publishing support. The six to ten fields available per catalog are separate observations, never ingredients for an invented engagement total.

Enter values and choose one useful focus metric

Add an account label that distinguishes the actual reporting unit, such as Ridgeway Outdoor Instagram product education. Choose its platform before entering numbers, because the allowed fields depend on that selection. If you later change platform, the numeric catalog resets after confirmation and the focus and target reset. Finish the source decision first to avoid needless reentry and accidental relabeling of unrelated metrics.

Enter current figures as supplied, then add previous figures only where the same observation is available. Zero means the source explicitly reports none. An empty field means unknown, unavailable, or outside the chosen evidence. If current shares are known but previous shares are not, keep the current observation and leave its counterpart empty. The report can show useful partial evidence without fabricating a comparison.

Use whole numbers for count fields and the appropriate decimals for watch hours. The signed exception is Reddit score; other counts are not negative quantities. Do not type a percentage, a currency amount, or a time duration in seconds into a count field. The field name establishes the unit, and a plausible looking number in the wrong unit will still tell the wrong story.

Select one focus metric per account according to the decision being reviewed. Ridgeway selects saves, because its question concerns equipment instructions that people keep. Another account can select watch hours for a different purpose. Its chart still compares only that account’s selected metric across the entered windows, using the same unit, not raw bars of saves beside hours or followers from other accounts.

Enter an optional positive target in the focus metric’s units. A saves target must be a number of saves, not a desired percentage increase. Explain how the team chose it in the written notes if that context matters. Targets are user supplied reference points. The builder does not recommend an industry benchmark, forecast future results, or calculate how likely an account is to reach its goal.

Reproduce the comparison and target calculation

To reproduce Ridgeway’s example, create an Instagram record and select saves as its focus. Enter a current value of 1,800 and a previous value of 1,500, with comparison enabled and the two thirty day windows already set. Enter 2,000 as the target. These are fictional, deliberately simple inputs so you can check every displayed calculation independently before using real figures.

The absolute difference is current minus previous: 1,800 minus 1,500 equals +300 saves. Because the previous value is positive, the percentage difference is 300 divided by 1,500, multiplied by one hundred, giving +20%. Both statements describe the same observed change. The percentage uses the earlier value as its denominator; it is not the share of the target completed.

Target progress uses a different calculation: 1,800 divided by 2,000, multiplied by one hundred, equals 90%. That means the entered current observation stands at ninety percent of the entered target. It does not mean a ninety percent probability of success. The team can separately note that the observed figure is two hundred saves below its chosen reference, without treating the target as a forecast.

Now test a missing previous value. Delete the previous saves observation, leaving current and target intact. There is no usable period delta or percentage comparison, although target progress can still be meaningful. Restore previous as explicit zero and the absolute change is +1,800, but there is still no percentage baseline. Dividing by zero cannot produce an informative growth percentage.

Keep the explanation as precise as the arithmetic. Ridgeway can say that observed saves increased within the documented windows and that the current figure reached ninety percent of its target. It cannot conclude that instruction quality caused the increase from these numbers alone. If the team published different amounts or changed its source filter, include that context rather than allowing a clean chart to imply a controlled experiment.

Write the interpretation and next actions yourself

Use the account takeaway to connect an observation with a practical decision. For Ridgeway, write that saves rose while the team tested equipment care demonstrations, and that the next review should examine those examples individually. State any uncertainty directly. The builder does not invent causes, assess creative quality, or write an automatic explanation of why a metric moved. Your interpretation remains your responsibility.

The top posts field is a place for human selected evidence, not an automatic ranking. Name a useful item, its date or internal reference, and why it deserves discussion. Ridgeway might identify the stove cleaning demonstration and the waterproofing checklist as examples to inspect. Do not call them the highest performing posts unless your separate evidence actually supports that claim under a defined measure.

Write the executive summary after reviewing account records. Give the reader the main observation, the important limitation, and the decision needed. Avoid retelling every table row. A manager can read a short summary about keeping the equipment care theme, then use the account tables to inspect the supporting observations and find where source availability limits the conclusion.

Put next actions in plain text with an owner and checkpoint. For example, Mara will review the two referenced demonstrations before the October planning meeting; Ellis will confirm that the next source capture uses the same filters. These are authored notes, not assigned tasks with reminders. The free report does not notify those people, schedule their work, or monitor whether a written action is completed.

If a change remains unexplained, make verification the next action. A useful report can end with a narrower question and a named person who will resolve it.

Export the report and keep an editable checkpoint

Download the PDF for a readable review containing the report overview, account metric tables, focus charts, and your notes. Read the exported file before sending it. Check names, date windows, missing observations, and the explanation beside any unequal period warning. A downloaded report is a fixed snapshot; editing the browser project afterward does not update a file someone already received.

Use CSV when you need structured data for a separate review. It is normalized long form: each row represents one account and one metric with the relevant record context, not a wide universal platform table. Empty observations stay empty rather than becoming zeros. Preserve the account identifier, dates, scope, metric key, and notes when working with the prepared template.

The downloadable CSV template can be filled and imported, and prepared CSV can also be pasted into the import area. This is not a parser for arbitrary native platform exports. Map your source observations to the specified template yourself. Conflicting record information, duplicate metric rows, or unsupported fields need correction rather than relying on an import to guess what you intended.

Save JSON to retain the complete editable project for the next review. The builder does not automatically store your work between visits. Save after meaningful changes, and keep a dated checkpoint before replacing values for a new period. Reopening that local file is an explicit action; it is not cloud synchronization or a connection to the private SMTasker workspace.

Copy the report text when you need a concise starting point for a message or meeting note. Delivery remains yours, through your usual process. This browser only tool does not upload the entered report data for remote processing, send scheduled reports, or fetch tomorrow’s analytics. Explore the free tools directory for a separate task only when it supports the next decision.

Review the evidence before starting the next period

Before approval, trace the focus metric back to the original observation and recompute one example manually. Confirm that a positive baseline was used wherever a percentage appears. Check the target unit and the selected account on every chart. This short review catches mistakes that visual polish will not reveal, especially a copied value that belongs to the wrong platform or reporting window.

Read the portfolio overview as a completeness check. It can describe accounts, filled current metrics, usable comparisons, and targets with observed values. It is not a cross platform scoreboard. There is no sensible unique audience total produced by adding followers, reach, or viewers from different accounts, and this builder does not create one. Keep each measurement attached to its own context.

For the next Ridgeway review, open the saved project, preserve the approved September checkpoint separately, then update the reporting dates and source observations deliberately. Do not assume that changing the dates refreshes a single number. Recheck cohort membership, source availability, and the meaning of the target. A reusable social media report template saves organization, not the manual work of establishing comparable evidence.

Ongoing account operations are a separate need. SMTasker’s 5-day trial lets you evaluate its supported account workflows independently of this free builder. The report does not import from that workspace or start publishing and engagement actions. Keep the reporting evidence, the decision, and the operational follow through distinct so each person knows what has actually been completed.

Questions about building a social media report

Does this social media report generator collect analytics automatically?

No. Enter source supplied observations manually or import a file prepared in the builder’s CSV format. The free tool has no social login, live analytics connection, or native export parser. Available metrics differ by account, so leave unsupported observations empty and explain the source selection in the account note.

Can I use it as a monthly social media report template?

Yes. Save the complete project as JSON, keep an approved checkpoint, and reopen a copy for the next reporting cycle. Update dates, numbers, targets, and written decisions yourself. The old figures do not refresh when a new month starts, and the builder does not automatically save changes between visits.

Can the report combine reach or followers across platforms?

No. Audience and reach observations remain attached to their account and source definition. The same person can appear in several records, and different measurements do not describe an interchangeable population. The overview reports completeness, while each chart shows one account’s chosen focus metric in its own unit.

Why is a percentage missing when I entered a previous value?

A percentage comparison requires a previous value greater than zero and a known current value with comparison enabled. A previous zero or negative score can still support an absolute difference, but not this percentage calculation. An unavailable observation is also different from an explicit zero and should remain empty.

Does downloading a client report start the SMTasker trial?

No. The free builder and its PDF, CSV, text, and JSON outputs are separate from the private SMTasker product. You choose how to deliver the downloaded report. Explore the 5-day trial separately when you want to evaluate supported account workflows; no report project is transferred automatically.
